Booking commitments and guest responsibilities for @649Caterers hospitality services and private experiences in Turks & Caicos.
01About these terms
These terms apply to the use of this website and to catering, concierge and hospitality services booked with @649Caterers in the Turks & Caicos Islands. Please read them together with your written quotation, booking confirmation, Cancellation & Rescheduling Policy and Privacy Policy before confirming a booking.
Your booking confirmation identifies the services, dates, times, guest numbers, location, inclusions and payment arrangements agreed with you. Any service-specific changes to these terms must be clearly stated and agreed in writing before you commit. Nothing in these terms limits rights or remedies that cannot lawfully be excluded.
02Enquiries, quotations & confirmation
Submitting an enquiry or requesting a quote does not reserve a date or confirm a booking. Sample menus, photographs and suggested itineraries are illustrative; your written confirmation sets out what is actually included.
A booking is confirmed only when we confirm it in writing and the agreed deposit has been received. Services remain subject to availability until then. Please check your confirmation and promptly tell us about any incorrect details.
The person arranging a booking must be an adult with authority to agree the arrangements and share the necessary information for their group. Please ensure all participants receive the relevant service requirements and safety instructions.
03Payments & changes to your booking
The total, currency, deposit, balance due date and any taxes, delivery charges or other costs will be stated in your quotation or confirmation. There is no fixed deposit percentage for every service. Pay only through the payment arrangements we confirm with you; deposit payments use Fygaro’s secure payment page. Do not send us card numbers, security codes or PINs.
Changes to guest numbers, dates, duration, venue, menu, design or service scope are subject to availability and may change the quotation. Any additional cost must be disclosed and agreed before the extra service is supplied. A requested change is not confirmed until we accept it in writing.
04Your details, venue & arrival
Provide accurate contact details, head counts, service dates and times, and the full villa, Airbnb, hotel or meeting-point address. Booking times are local Turks & Caicos time unless your confirmation says otherwise. Keep us informed of changes that may affect delivery.
Arrange permission from your host or venue for the booked service and tell us about access restrictions, parking, stairs, security procedures, noise rules and any required setup facilities. We will confirm any kitchen, electricity, water or workspace requirements relevant to your booking.
Please be ready at the agreed time. Late arrival or lack of venue access may affect the available service time; any alternative arrangements or added costs must be discussed with you. Missed bookings are addressed in our Cancellation & Rescheduling Policy.
05Private chefs, food & celebration cakes
Your confirmation will specify the meal, chosen setup, guest count and agreed food and beverage inclusions. Ingredients and dishes depend on availability; we will discuss material substitutions with you rather than promise an exact sample menu in every case.
Tell us about allergies, intolerances and dietary requirements before confirming your menu, and update us if they change. We will discuss whether we can accommodate them. Shared preparation environments and ingredients may involve cross-contact, so we cannot guarantee an allergen-free meal. If a requirement cannot be safely met, we will tell you before proceeding.
For cakes, confirm the flavour, filling, size or tiers, colours, theme, wording, topper, delivery details and any special requests. Inspiration photographs guide the design; handmade results may vary. We will agree any significant design changes with you. Follow the handling and storage guidance supplied, especially in warm outdoor settings, and remove non-edible decorations before serving.
06Event decoration & setup
The agreed quotation defines your décor items, quantities, theme, installation and any collection arrangements. Inspiration photographs are references, not a guarantee of an identical reproduction. Tell us about venue restrictions and confirm permission for the proposed installation.
Do not move, alter or dismantle installed equipment without agreement. Keep children away from fragile items, electrical connections and unsecured decorations. Outdoor installations may require changes for wind, rain or other safety concerns; we will discuss suitable alternatives where possible.
Where items are hired rather than purchased, your confirmation will identify the return arrangements. Any claim for loss or damage must be supported by evidence and a reasonable explanation of the repair or replacement cost; ordinary wear is not treated as damage.
07Massage & wellness
Massages and spa treatments are intended for relaxation and wellness, not medical diagnosis or treatment. Before your appointment, privately tell the therapist about pregnancy, injuries, recent surgery, skin conditions or other matters that may affect safe treatment. Seek medical advice if you are unsure whether a treatment is suitable.
Your therapist may recommend a different treatment or decline an unsafe treatment. Consent, privacy and respectful conduct are required throughout; you may ask for a change in pressure or stop the treatment at any time. Any proposed change to the booking will be discussed with you.
08Yachts & water experiences
Yacht charters, clear kayak photoshoots, jet-car excursions and photoshoots, and jet-ski rentals depend on suitable weather, sea conditions and operator approval. Your confirmation sets out the duration, meeting point and inclusions. Routes, stops, swimming and snorkelling opportunities may change for safety or local restrictions; a particular stop or wildlife sighting cannot be guaranteed.
Follow the captain’s or operator’s instructions, use the required safety equipment and remain within permitted areas. Tell the operator about limited swimming ability, mobility needs or relevant health concerns before participating. Age, capacity, licensing or other eligibility requirements will be confirmed for the activity; do not assume every activity suits every guest.
For photoshoots, confirm the package, any included photographs or video, and delivery arrangements before booking. Protect personal belongings from water and follow instructions for safe posing, boarding and movement. A photoshoot booking does not grant permission for us to publish your likeness.
09Horseback riding, ATV & UTV excursions
These activities involve uneven terrain, animals or motorised vehicles and require compliance with the guide’s instructions. Confirm the vehicle type, rider or passenger capacity, duration and meeting point in your booking. The operator will explain any age, licence, weight, health or other participation requirements before you commit.
Wear the required protective equipment and suitable clothing, stay on authorised routes and do not handle animals or operate vehicles contrary to instructions. Participants must not be impaired by alcohol or drugs. Tell us in advance about pregnancy, injuries or mobility needs so suitability can be assessed; a requested activity may not be appropriate for every participant.
10Transportation
Confirm whether you require an airport transfer, on-call shuttle or private-driver service, together with the passengers, luggage, collection point, destinations and agreed service period. Provide your flight number, arrival information, departure date and time, and full transportation itinerary where relevant.
Tell us about flight changes, delays, child seats, accessibility needs or oversized luggage in advance. These arrangements must be confirmed rather than assumed. If waiting time, extra stops or itinerary changes affect the quote, we will explain any additional charge before it is agreed. Allow suitable time for traffic and airport procedures.
11Bartender, butler & hookah rentals
For bartender or butler services, confirm the number of hours, guest count, duties and any agreed drinks, supplies or equipment. Alcohol will only be served where lawful and to guests who meet the applicable legal age requirement; identification may be requested and service may be refused where necessary for safety or compliance.
For hookah rentals, confirm the quantity, rental period, flavours, included supplies, delivery and collection arrangements. Hookah use is not risk-free and must comply with local law and venue rules. Keep hot coals and equipment away from children, flammable materials and unsuitable surfaces; use only in an appropriate ventilated setting and follow the instructions provided.
Do not leave lit equipment unattended. Return hired items as agreed. Any claim for lost or damaged equipment must be supported by evidence and reasonable repair or replacement costs, excluding ordinary wear.
12Fire dancer performances
Confirm the performance time, location and venue permission before booking. The performer determines the safe performance area and separation from spectators, decorations and buildings. Guests must remain outside that area and must not handle fuel or performance equipment.
Wind, rain, nearby hazards or venue restrictions may prevent a live fire performance or require a change. Safety takes priority over the requested setting or show time; we will discuss available alternatives with you.
13Safety, third-party operators & disruptions
Some services may be delivered by an independent operator arranged through @649Caterers. We will identify relevant operator requirements and any additional terms before you commit. An operator may require a separate safety briefing or participation form; this does not remove rights you have under applicable law or our responsibility for our own commitments.
We and the relevant operator may pause or stop an activity when conditions or behaviour make it unsafe. Harassment, abuse, dangerous conduct and unlawful activity are not acceptable. Guests must follow safety instructions and supervise children as required for the service.
Severe weather, official restrictions, transport disruption or other events beyond reasonable control may affect a service. We will notify you as soon as reasonably possible and discuss available alternatives and any payment implications before agreeing a replacement. If we or an operator cannot provide the agreed service, we will discuss an appropriate remedy; this is distinct from a cancellation requested by you, and your statutory rights remain unaffected.
14Liability & concerns
We are responsible for providing the services we agree to arrange or deliver with reasonable care and skill. Participation in an activity does not mean you waive all rights or accept responsibility for someone else’s negligence. Nothing here excludes liability for fraud, death or personal injury caused by negligence, or any other liability that cannot legally be excluded.
Please tell us promptly if a service is not as agreed so we have an opportunity to address it. Contact us with the booking name, date, affected service and a description of the issue. We will review it with you and, where relevant, the operator. This request does not shorten any legal period you have to bring a claim.
15Website content, privacy & photographs
Use the website lawfully and do not misuse enquiry forms, private booking links or account access. Website photographs, branding and written content may not be copied or used commercially without permission from the rights holder.
Personal details and inspiration uploads are handled as described in our Privacy Policy. Only submit photographs or other material you are entitled to share for your request. We will ask for permission before using identifiable guest photographs or private inspiration uploads in our marketing.
16Applicable law & updates
These terms are intended to be governed by the laws of the Turks & Caicos Islands, subject to any mandatory consumer protections that apply to you. Please contact us first to try to resolve a disagreement; doing so does not prevent you from pursuing any legal remedy available to you.
We may update these terms for future bookings and will show the updated date on this page. An update does not retrospectively change an existing confirmed booking unless we agree the change with you in writing or applicable law requires it. Keep a copy of the terms and confirmation that apply to your booking.
