How @649Caterers handles the details you share when you request a quote or book an experience in Turks & Caicos.
01Who we are
@649Caterers is a private catering, concierge and hospitality service in the Turks & Caicos Islands. This policy explains what personal information we collect when you use this website or book with us, why we need it, who we share it with and what choices you have.
Questions about this policy, or about your information, go to info@649caterers.com or 1-649-348-6944.
02What we collect
- Enquiry form (“Get Started Today”): your name, email address, phone number, head count, booking date, the services you’re interested in, and any message you add.
- Quote request form: your full name, email, contact number, total head count, the villa, Airbnb or location where you’d like the service, any allergies or dietary restrictions, the services you want with dates and times, your notes, and any photos you choose to upload (for example event décor or cake inspiration pictures).
- Booking and payment: when we confirm a booking we keep a record of what was agreed, the agreed total and deposit, and the deposit status. Deposits are taken through Fygaro’s secure payment page — we receive the payment confirmation, never your card number, security code or PIN.
- Conversations: emails, WhatsApp messages and phone calls you send us, including anything you tell us about your event, your location or your preferences.
- On-page services: our pages show a Google map and Google reviews, and link to our Instagram and TikTok. When those load, Google or the social platform may set its own cookies and see your IP address. That is their policy, not ours, and we can’t change it.
03Why we use it
- To answer your enquiry and prepare an accurate quote for the services, dates and group size you asked for.
- To contact you about your request by email, WhatsApp or phone.
- To plan and deliver your experience — including confirming access and setup with your villa, host or venue.
- To prepare food safely, when you have told us about allergies or dietary restrictions.
- To confirm your booking, track your deposit and keep a record of what we agreed.
- To send you booking confirmations and reminders about an experience you have booked. We don’t send marketing blasts to people who haven’t asked us for anything.
04Allergies and dietary information
We ask about allergies and dietary restrictions so the chef and team can prepare and serve your food safely. Please tell us only what you’re comfortable sharing — there’s no need to include medical details beyond what we need to keep you safe.
That information is used solely for preparing your booking and is seen by the team handling it. It is never sold, and it is never used for advertising.
05Photos you send us
Inspiration or sample pictures you upload with a décor or cake request are kept in a private area of our system that only our team can open. They are used to understand what you want for that booking.
They are not published on this website or on our social media, and we won’t use them that way without asking you first. Ask us and we’ll delete them.
06Who we share it with
We never sell your personal information, and we never share it with other companies for their own marketing.
- Our own team members who need it to quote, plan or deliver your experience.
- Your villa, host, venue or transfer contact, where they need to know your arrival, head count or setup details.
- Fygaro, to take your deposit, and our hosting and email providers, which store and deliver the information on our behalf.
- Anyone else only with your permission, or where we’re legally required to.
07How we protect it
Your information is held on secured hosting with access limited to the people at @649Caterers who need it. Requests and uploads are not publicly listed anywhere on this site, and the inbox where they are read is protected by a login.
No method of storage is completely foolproof, so please don’t send us anything you wouldn’t want kept in a business record — such as full card details or documents we haven’t asked for.
08How long we keep it
We keep enquiry and booking records for as long as we need them to provide your experience, to keep a record of what was agreed, and to answer anything you come back to us about afterwards.
If you’d rather we removed your details sooner, tell us and we’ll delete them, apart from anything we’re required to hold for accounting or legal reasons.
09Your choices
Send your request to info@649caterers.com. So we can be sure we’re dealing with the right person, we may ask you to confirm the email address or booking your details sit under.
- Ask us for a copy of the information we hold about you.
- Ask us to correct anything that’s wrong, or to delete it.
- Ask us to stop contacting you, or to use a different channel — for example email instead of WhatsApp.
- Withdraw consent for anything you gave it for, such as keeping your inspiration photos.
10Advertising measurement and your choices
We use Google Ads to measure completed quote requests and optimize our advertising. When permitted, Google receives your IP address, device/browser information, cookie or ad-click identifiers, and a completed-request event. We do not send your name, contact details, dietary information, service selections, notes or photos with this event. No customer matching or enhanced conversions are enabled.
Advertising tracking is blocked until you accept in regions requiring consent, and where your location cannot be determined. Our country-only location check also treats Canada conservatively. Elsewhere ordinary measurement may run unless you reject it. Rejected visitors do not send advertising conversion events; acceptance later does not replay earlier blocked events.
Use Privacy settings in the footer to accept, reject or withdraw permission at any time. Your browser keeps a visitor identifier, region, dated choice history and the notice version as evidence, and a limited record of permitted conversion events. Opening settings does not change your current choice; rejection applies to future reporting, including other open tabs. Clearing browser storage removes these records and requires a new choice where consent is needed. Existing Google cookies may remain until you clear them in your browser.
11Children
Our experiences are arranged for adults. Children are welcome when accompanied by a responsible adult, and we only need their information where it affects the service — such as a child’s allergy or a seat for a transfer.
12Changes to this policy
If we change how we handle your information, we’ll update this page and change the date below. The version here is the one that applies to anything you send us from today onwards.
